POSITION DESCRIPTIONS

We elect our President Elect and Vice President annually. Experience on the Board of Trustees (BOT)is recommended prior to running for one
of these offices. Becoming a Component Trustee is a great way to get started! See Trustee description at the bottom of this page for more information!
President Elect
As President Elect you will work with the president and support the goals of the strategic plan. If needed, you will act as President in his/her absence. You will also assist the Vice President in his/her duties and be prepared to fill this position if needed as well. You will be expected to attend all BOT (Board of Trustees) and the business meetings of the HOD (House of Delegates). You will receive mentoring from the President and Immediate Past President in preparation for your presidential year and will have the opportunity to plan your theme for your upcoming Presidency. You will coordinate the activities of the nominations committee and help identify new potential leaders. You should have experience as a voting member of the ODHA Board of Trustees and have attended the ODHA House of Delegates meeting as a delegate. Attendance at one or more ADHA Annual Sessions is helpful, as is attendance at ADHA's Unleashing your Potential Meeting.
3 year commitment.
President
The president of the association guides the leadership as we work to achieve the strategic plan. You will be the face of our association for other organizations and will communicate with them in person, by email and by telephone. You will appoint new committee chairs and other positons as required, will run all Board of Trustees (BOT) Meetings, and attend the business meetings of the House of Delegates (HOD). You will also be responsible for signing association contracts (after BOT approval) and providing reports to ADHA. You will also be responsible for creating a vision for ODHA and facilitating leadership development and strategic planning. Lastly, you are a resource to our component Presidents and a mentor for our President Elect
Immediate Past President
Your year following your presidency can take many forms. Continuing as a leader and mentor is important to those who follow you, and your new found wisdom will help guide the future for our association. Take this year to work with the committees, councils or officers you felt most inspired by. You have provided a valuable service to the association. Thank you!
Vice President
You will work closely with our SADHA liaisons to help involve students with ODHA, encourage student membership. You are the face of our association to these new members and future hygienists. You will visit each program once during the year and make a presentation of your choosing. You will coordinate and administer the Professional Achievement award, making changes to this program as you see fit. You will fulfill the duties of the President or President elect if called upon, and will be expected to attend all BOT meetings as well as the business meetings of the HOD. Lastly you will be a resource to Component Vice Presidents, and will seek out others to run for Vice President in the coming years.
1 year position followed by nomination to President Elect
Secretary
The Secretary of the association will store all records of BOT and HOD meetings either on paper or electronically. You will attend all meetings of the BOT and HOD and prepare minutes within 30 days of the meeting. You will be responsible for updating the P&P manual and assuring that all BOT members are informed. You will work closely with the Administrative council to help set up the HOD and you will keep a current roster of BOT members as well as other officers and organizations essential to the operations of the association. This position requires attention to detail, good organizational skills, and a large amount of time preparing documents on your computer. Lastly you will be a resource to Component Secretaries and be responsible for finding nominees when you vacate your position. 2 year position
Treasurer
The treasurer of the association will work closely with Spire Management to ensure that the expenditures of the association are recorded correctly and within the budget. You will review financial statements monthly, request corrections and advise the administrative council as needed. You will be responsible for preparing the annual budget for approval of the BOT prior to the HOD, with the help of the Finance Committee. You will also assist components with their financial questions. This position requires attention to detail, and an eye for numbers as well as an understanding of the strategic plan and upcoming funding needs. Lastly you will be a resource to our component treasurers and will be responsible for mentoring your replacement. 2 year position
Speaker of The House
This position requires you to assemble the Delegates Manual and to run both meetings of the House of Delegates. Knowledge of Parliamentary procedure is helpful, although you will be working closely with our Parliamentarian. You must be able to collect all the annual reports of officers, councils and trustees, collect delegate information from the secretary, and work with the Administrative Council to fill the nominations. Most of this work is completed from August to November. 2 year position

Professional Development Council Chair
This committee oversees event planning and other activities related to Professional Development of dental hygienists and dental hygiene students. The chair of this committee will be responsible for long term planning and support of the strategic plan developed by the Board of Trustees. You will be assisted by the members of the event planning committee, Vice President and the SADHA Liasions. Some of your duties might include:
Oversee Event Planning with Administrative Council and Spire Management
Assist VP with Professional Development Award
Prepare action plan to achieve goals, objectives, strategies assigned to the council
Attend Board of Trustees and House of Delegates Meetings
Plan and attend Professional Development Council Meetings
Membership Services Council Chair
This committee handles all projects related to our members. Communicating information from ADHA and ODHA to our local components and individual members, as well as helping our individual members communicate with our association is a big priority. Assisting officers with recruitment and retention projects and facilitating communcation between the Board of Trustees and the Components are other important duties. Other projects might include:
Coordinate member recognition awards
Update and manage lists of ADHA members and RDH’s registered in Oregon, provide information for mailings to officers, councils, and components as needed
Develop recruitment and retention activities per strategic plan
Oversee ODC table
Work to increase membership, participation, communication
Public Affairs Council Chair
With the new strategic plan in place, this council is going to have lots of fun work to do. If you have energy, time and good ideas, please consider developing this council. Some of your potential focus areas would be:
Identify activities related to consumer awareness of health issues
Work with state media outlets to put out information on oral health
Plan and conduct activities to promote consumer awareness of health issues thru health fairs and sealant clinics
Plan activities for National Dental Hygiene Month (October) and National Childrens Dental Health Month (Feb)
Assist components to utilize local media to publicize DH activities
Work with Membership Services, Webmaster and Editor to publish in website, newsletter, directory and with local media the following: awards, legislative issues, volunteerism, diverse practice settings, new member recognition

Delegates are members from local regions who attend annual business meetings of the association on behalf of their region. You can start as a delegate from your area to the ODHA House of Delegates meeting. Contact your Component Trustee or President to get started. You can also represent Oregon at the ADHA national meeting, which is in a different city every year.
ADHA Delegate:
2 year position. Must have attended an ADHA meeting as an alternate prior to becoming a delegate. Travel expenses, registration and lodging will be funded by ODHA. You are expected to attend all delegates meeting prior to and during the HOD , to be adequately prepared to represent the interests of Oregon hygienists in deliberation before the ADHA House of Delegates, to be knowledgeable about ODHA policies, Bylaws and activities. One delegate will be appointed chair and will be responsible for submitting the report of the ADHA Delegation to the ODHA House of Delegates.
ADHA Alternate Delegate:
As an alternate delegate you must be willing to attend the business portion of this years ADHA meeting in Phoenix. Your travel expenses are not covered, although the first alternate (the alternate with the most votes during the balloting) will be reimbursed if there are dollars remaining in the budget line item after the delegates are reimbursed. The first alternate will also have the option of staying in a room with a delegate and having this expense covered.
You must plan to attend all delegate meetings prior to the ADHA HOD, and support the delegates during the ADHA HOD meeting. Additionally you must be adequately prepared to replace an ADHA delegate on the floor of the House and assume the responsibilities listed under ADHA Delegate description above..
COMMITTEES:
Finance Committee (two positions available)
As a Finance Committee member you must be available for regular meetings of the committee to review the budget and other financial statements as requested by the Treasurer and to assist the Treasurer in creating the draft budget submitted to the BOT. You should like numbers and be willing to learn about financial statements. Be willing to state your opinion, value teamwork, and be ready to be creative.
1 position is a 2 year position. The other position is a 1 year position

Position Discripton
A trustee attends all meetings of the Board of Trustees as a representative for their local area. Members at Large represents all ADHA members who live outside of an organized component area. Trustees bring information from the BOT back to members in their area. If the local component is small or poorly organized, the trustee would be responsible for acquiring their member lists from ODHA and communicating information to those members. The trustee may also plan meetings and work to organize the component as need.
Trustees are currently needed for Members at Large, SW Oregon, and Douglas County.
Component Trustees serve as liasions betweeen your local members and the Board Of Trustees. The Board conducts the activities of ODHA and the trustees bring news to their executive officers for distribution to member and non member hygienists appropriately. Trustees may also choose to participate in standing or ad-hoc committees as needed. The board meets 4 times per year, so the trustee should be prepared to attend either personally or electronically
